Position Purpose

The HR BP Process/ Controls SPOC will play a critical role in ensuring consistency and effectively and efficiently delivering HR Operational support while managing process controls for the HR Business partner function. This role would primarily be responsible for coordinating, planning and timely closure of the actions required in line with agreed HR processes as well as driving continuous improvement with respect to processes across the HR BP Function. This position requires a strong understanding of best practices, communication and interpersonal skills and the ability to collaborate effectively with key stakeholders.

Responsibilities

Direct Responsibilities

§  Responsible for MIS Reporting for the HR Business partner function

§  Acts as a point of contact and coordinates with different departments and various internal stakeholders to ensure closure with respect to processes (primarily the HR BP specific actions related to these processes)

  • Liaise with HR Business partners and stakeholders to ensure closure of activities within committed timelines

§  Monitoring & tracking of processes in line with agreed process checkpoints and timelines. Ensuring that the processes are producing the desired outcomes, making changes as required.

§  Ensuring the internal procedure notes are continually updated when changes are identified through regular process reviews

  • Contribution to presentations with respect to HR BP related data
  • Plans and facilitates all operational activities for the HR Business partner function.
  • Leads process improvements driving continuous improvement across HR BP function
  • Responsible for communication of process changes to all stakeholders and ideation to help resolutions.

SUPPORT ON HR BUSINESS PARTNERING ACTIVITIES/ PROCESSES

Responsibilities include working together with the HR Business Partner team on the following ‐

HR REPORTING

  • Headcount Reporting
  • Attrition Reporting
  • Consolidation of Span of control
  • Supporting Data related requests/ presentations (as required)

CAREER MANGEMENT/ RECOGNITION

§ Support HR Business partners in follow up on Objective Setting and PDPs across the various teams

§ Job Description (JAD) closures

§ Support mobility related process requirements

§ Tracking of the budgets and nominations, liasing with the vendor for procurement of trophies/plaques for the recognition program  as well as Long service awards

PERFORMANCE MANAGEMENT/TALENT MANAGEMNT:

  • Facilitate the probation confirmations to ensure closure in a timely manner
  • Facilitate the closure and reporting on appraisal process to ensure timely delivery and completion
  • Facilitate internal transfers, leaves of absence (maternity, long leave…), retirement and exit processes (including exit interviews) for employees in scope
  • Support the HR Business partner team in data requirements for the annual Compensation Review Process (CRP) and assist where required on related controls etc.
  • Maintain repository of talent in the organisation and support with tracking/ monitoring as required

HR OPERATIONAL DELIVERY

  • Managing HR related operational delivery across teams – confirmations, exit formalities, closure of BGVs, payroll updates, updation of trackers
  • Support on management employee queries
  • Collation of feedback from staff received – Surveys/Skips etc.

STAKEHOLDER MANAGEMENT:

  • Liaise with HR Business partners and stakeholders to ensure closure of activities within committed timelines

MANAGING HR RISKS, ENSURING CONTROLS AND COMPLIANCES & EMPLOYEE DATA PROTECTION AND DATA INTEGRITY

  • Ensure that risks related the processes managed by the HR BP Function are well identified on time and a suitable action plan is in place
  • Minimize risk and specifically ensure controls are implemented and incidents notified
  • Ensuring reference check reports are monitored and resolving unclear reports in a timely manner as per guidelines
  • Block Leave reminders and follow ups with managers
  • Ensure the integrity and confidentiality of data managed
  • Ensure completion of p-files for all staff in remit and documentation is collected and stored appropriately, all relevant documents are organized and easily retrievable
  • Support and facilitate internal audits, IG, etc.

HR GOVERNANCE

  • Facilitate a smooth offboarding/ exit process
  • Coordinate with various teams for smooth delivery with regard to payroll information like shift allowance, exits, new joiners etc.
  • Review/ take necessary action in case of non-compliance on reference checks
  • Contribute to the internal control plans (where required) and reporting of all incidents according to the agreed process.
  • Ensure all exit clearances are in place

§ Follow up and implementation of any BNPP specific compliance, statutory or legal requirements
